How it works

How Gerencialab connects your laboratory's operation

See how client relationships, proposals, work orders, sampling, analysis, review, reports and financial management link together, according to the modules set up for your operation.

From the client relationship to financial management

Each stage uses the data from the previous one, which reduces retyping between modules. Use the stages that make sense for your operation.

  1. CRM (optional, according to plan)

Opportunities organized in the sales pipeline, with stages, tasks and loss reasons. Automatic lead entry depends on a webhook integration with the laboratory's capture form.

Sales module available according to plan
  2. Proposal

Proposal built with the laboratory's services and prices. Sending by email or WhatsApp, open tracking and acceptance through the client's link are configurable features. An approved proposal can become a contract.

    Depends on configuration
  3. Work order

The work order brings together the client, samples and services. It can be opened by the team or generated from the contract's sampling schedule, with barcode labels for the samples.

  4. Sampling

The app records the form, checklist, photos, signature and location, with offline features. Records are sent when the connection returns.

  5. Analysis and configured QC criteria

Results are entered or imported by file. Quality control applies the criteria set up by the laboratory and flags what needs attention before review.

  6. Review

Results go through the review and release stages defined by the laboratory, with a record of who did each stage and when.

  7. Report

The report is generated from released results. The ICP-Brasil digital signature uses the registered A1 certificate. The report can be sent by email or made available in the client portal.

    Depends on configuration
  8. Financial management

Completed services become available for billing. The management P&L is built from the entries, according to the configured classification rules.

Modules available according to the contracted scope.

Quality runs through the flow

Controlled documents, nonconformity records, analytical quality control and indicators are in the same system, according to the contracted modules.

The platform is a support tool. Demonstrating competence and meeting the standard are the laboratory's responsibilities.

Implementation stages: from assessment to go-live

The schedule depends on the number of methods, the data history, the integrations, the contracted modules and the teams' availability. The estimate is presented after the initial assessment.

  1. 1

Assessment of processes, methods and data

Mapping of the routine, methods, master data and the history the laboratory wants to bring over.

  2. 2

    Scope and acceptance criteria

Modules, integrations, data to migrate and the criteria for accepting each delivery.

  3. 3

Setup and migration of a data sample

System setup and loading of part of the data for the laboratory to check.

  4. 4

Testing with key users and training

Key users test the flow with real cases, and the team is trained.

  5. 5

    Go-live and follow-up

Start of operation with follow-up from the support team.

After go-live, the laboratory can count on the support team.

Questions about migration and implementation

What data can be migrated?

Master data, such as clients and parameters, and result history, depending on the format and quality of the source data. What will be migrated is defined in the implementation scope.

In what format should I send the data?

Spreadsheets in XLSX or CSV, or exports from your current system. Our team reviews part of the data before loading it and points out the adjustments needed.

Who validates the migrated data?

The laboratory, using acceptance criteria agreed at the start of the project. The implementation team supports the check.

Can we run both systems in parallel during the transition?

This can be agreed. The laboratory can keep the previous system for a period defined in the transition plan while it validates the new flow.

How are timelines set?

The schedule depends on the number of methods, the data history, the integrations, the contracted modules and the teams' availability. The estimate is presented after the initial assessment.

Will the full history be migrated?

It depends on the format and quality of the source data. The scope and acceptance criteria define what will be migrated and how it will be checked.
